Hey Joe Casting (“Hey Joe,” “we,” “us,” or “our”) is a cloud-based casting platform operated by North Shore Media, LLC. This Privacy Policy explains how we collect, use, share, and protect your personal information when you use our website, applications, and services (collectively, the “Platform”).

By using the Platform, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Platform.

1. Information We Collect

a. Account & Profile Information

When you create an account, we collect:

• Name, email address, phone number, and password
• Profile photo, headshot, and biographical details
• Professional information such as representation, agency affiliations, skills, experience, and union status (e.g., SAG-AFTRA)
• Date of birth (required to identify minor accounts)
• Parent or guardian contact information for users under 18

b. Talent Profile Information

Talent users may provide additional information for their casting profiles, including but not limited to:

• Physical attributes (height, weight, hair color, eye color, etc.)
• Demo reels, video and audio samples
• Resumes, training history, and special skills
• Social media links and personal websites

c. Video & Media Content

The Platform enables video-centric workflows. We collect and store:

• Self-tape video uploads and audition recordings
• Live video session recordings (when recording is enabled by the session host)
• Photos, documents, and other files you upload

d. Usage & Device Data

We automatically collect:

• IP address, browser type, operating system, and device identifiers
• Pages visited, features used, and actions taken on the Platform
• Session timestamps and duration
• Referral URLs and search terms that led you to the Platform

e. Communications

We collect messages you send through the Platform, including in-app messages, notifications, and support requests.

f. Cookies & Tracking Technologies

We use cookies, local storage, and similar technologies to maintain sessions, remember preferences, and understand how you use the Platform. We also use Google reCAPTCHA to protect against abuse, which is subject to Google's Privacy Policy and Terms of Service.

g. Payment Information

If you purchase a subscription or other paid services, our payment processor Stripe collects your payment details (credit card number, billing address, etc.) on our behalf. We do not store full credit card numbers on our servers. We receive limited billing information from Stripe (such as the last four digits of your card, card brand, and billing address) to display on your account and for support purposes. Stripe's handling of your payment data is governed by the Stripe Privacy Policy.

h. Third-Party Authentication

If you sign in using Google or another third-party provider, we receive basic profile information (name, email, and profile picture) from that provider in accordance with their privacy policies.

2. How We Use Your Information

We use your information to:

• Provide, operate, and improve the Platform
• Create and manage your account and talent profile
• Facilitate casting sessions, auditions, and talent submissions
• Store and deliver your video content and media files via our cloud infrastructure
• Enable live video sessions between casting directors, talent, and other participants
• Power AI-assisted features such as video analysis, transcription, tagging, and search to improve casting workflows
• Send transactional notifications (session invites, submission updates, schedule changes)
• Send marketing communications (you can opt out at any time)
• Process payments and manage subscriptions via Stripe
• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations

3. AI Processing

Hey Joe uses artificial intelligence and machine learning features to enhance the casting experience. These features may include:

• Video transcription and captioning
• Content tagging and categorization
• Search and recommendation features
• Performance analysis tools for casting professionals

AI features process the content you provide on the Platform (such as videos, profiles, and submissions). We do not sell AI-generated insights about you to third parties. You may contact us to opt out of non-essential AI processing of your content.

4. How We Share Your Information

We share your information in the following circumstances:

• Casting Professionals: When you submit to a casting session or project, your profile, media, and submission materials are shared with the casting directors, producers, and other authorized team members on that project.
• Agencies & Representatives: If you are represented by an agency on the Platform, your agent may access and manage your profile and submissions.
• Service Providers: We use third-party services for cloud hosting, video processing, email delivery, analytics, and payment processing (Stripe). These providers only access your data as needed to perform services on our behalf.
• Legal Requirements: We may disclose your information to comply with applicable law, regulation, legal process, or governmental request.
• Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

We do not sell your personal information.

5. Cloud Storage & Data Security

Your media files (videos, photos, documents) are stored using secure cloud infrastructure. We implement industry-standard security measures including:

• Encryption of data in transit (TLS/SSL) and at rest
• Access controls and authentication requirements
• Regular security assessments
• Secure video streaming for live sessions

While we take reasonable steps to protect your data, no system is 100% secure. You are responsible for keeping your account credentials confidential.

6. Children & Minor Accounts

We recognize that minors (users under 18) may use the Platform for legitimate casting purposes. For minor accounts:

• A parent or legal guardian must create and manage the account
• Parental or guardian consent is required before any personal information is collected
• Parents and guardians can review, update, or request deletion of their child's information at any time by contacting us
• We limit data collection for minors to what is reasonably necessary for casting activities
• Live video sessions involving minors require a parent or guardian to be present or to have provided documented consent

7. Your Rights & Choices

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete information
• Delete your account and associated data
• Download a copy of your data in a portable format
• Opt out of marketing communications
• Opt out of non-essential AI processing
• Withdraw consent where processing is based on consent

8. Data Retention

We retain your information for as long as your account is active or as needed to provide you services. Specifically:

• Account and profile data is kept until you delete your account
• Video and media files are retained according to project and session settings, or until you or the project owner deletes them
• Usage logs are retained for up to 24 months for security and analytics purposes
• We may retain certain data longer where required by law or for legitimate business purposes (e.g., dispute resolution)

9. California Residents (CCPA)

If you are a California resident, you have additional rights under the CCPA:

• The right to know what personal information we collect and how it is used
• The right to request deletion of your personal information
• The right to opt out of the sale of personal information (we do not sell your data)
• The right to non-discrimination for exercising your privacy rights

10. International Users

The Platform is operated from the United States. If you are accessing it from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Platform, you consent to this transfer.

The Platform may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective Date” at the top. For material changes, we will notify you via email or an in-app notice. Your continued use of the Platform after changes are posted constitutes acceptance of the updated policy.
